If you expect to complete your course in the current teaching period and graduate at the next round of ceremonies you should access your academic record in QUT Virtual to ensure that:

  • your expected completion is the current teaching period and year. Your expected course completion period should be Mid/2008 if you are due to complete your course at the end of Semester 1, 2008.*
  • your enrolment details are correct
  • your study areas (majors) are recorded accurately
  • you have applied for advanced standing if applicable
  • any outstanding grades from previous teaching periods have been finalised
  • you have not exceeded the limit of three grades allowed in your course
  • any sanctions have been cleared
  • your name is recorded correctly by submitting a Change to Personal Details form if necessary before the cut-off date for your ceremony so that your award certificate will be issued in your official name
  • your mailing address is kept accurate after your course is completed to ensure you receive an invitation to the graduation ceremonies.

* If you are due to complete course requirements in the 6TP, 5TP, 12TP, 13TP or XCH teaching periods/semesters you should check with your faculty if you have difficulties nominating an expected course completion period.

Eligibility to graduate cut-off dates

Students who complete their course (including research master courses) requirements by 11 July 2008 will be invited to the August 2008 ceremonies.

Students who missed this cut-off, but who will complete their course requirements by 12 September 2008 will have their degree conferred on 17 September 2008. Parchments will be mailed to all eligible students at the end of September 2008. Advice will be sent with the parchment on how to register for the next available ceremony.

Note: You should check that you have completed all your course requirements by accessing your academic history via the Student Services tab in QUT Virtual and ensuring that your course status is listed as 'complete'. You must also pay any outstanding financial obligations and ensure any sanctions on your record are lifted by close of business on the nominated cut-off date for your particular ceremony. Please note that if you receive a sanction at any time after becoming eligible to graduate, even if the sanction is incurred for a non-related course, your graduation will be blocked.

If you have not completed all course requirements because of incomplete grades, advanced standing required, incomplete industrial experience or incomplete assessment, then you should seek to resolve this matter. Make sure you allow enough time for the outstanding requirement to be processed by the close of business on the nominated cut-off date.

Students should refer to the tentative dates for graduations ceremonies for further information.

Exiting early in an approved course

If you wish to exit early from your current course (where course requirements permit eg Masters to Graduate Diploma, 4 year to 3 year bachelors degree or from a double degree to a single component degree), you should lodge an SRX Form with your faculty. Further information is available on the form and from your faculty.

The closing date for submission of the SRX form to Student Business Services (with faculty approval signed off on the form) for participation in the August 2008 graduation ceremonies is 24 June 2008.

Academic Records

A complimentary Academic Record will be posted to you on completion of your course. Records will be posted up to four weeks after the official release of results each semester and progressively thereafter on a weekly basis as students complete their courses. This Academic Record will indicate that course requirements have been met. For additional copies, you must apply for an academic record.
